Terms & Policies

1 · Booking & Deposits

A session is reserved only once your deposit is received. Until then, the date and time remain open to others, even if you have started the booking process. The deposit amount is shown for each session type at the time of booking and is applied toward your total session price.

• Booking a session means you confirm you are 18 years of age or older. We may request a valid photo ID.
• The deposit holds your slot and reserves studio time, equipment, and preparation specifically for you.
• Payments are processed securely by Stripe. We never see or store your card details.

2 · Cancellations, Rescheduling & Refunds

Because a booked slot is time we hold exclusively for you and turn away other clients to protect, the following applies:

• Deposits are non-refundable within 10 days of your scheduled session date. If you cancel, reschedule, or fail to attend once we are inside that 10-day window, your deposit is forfeited.
• Any booking made within 10 days of the session date carries a non-refundable deposit from the moment it is paid.
• If you cancel more than 10 days before your session, your deposit may, at our discretion, be refunded or applied as credit toward a rescheduled session within 6 months.
• Rescheduling: we're happy to move your session once with at least 10 days' notice, subject to availability; your deposit transfers to the new date. Additional reschedules or late reschedules may require a new deposit.
• No-shows and arrivals more than 20 minutes late may be treated as a cancellation, with the deposit forfeited
• Balance payments (any amount beyond the deposit) are non-refundable once the session has taken place or once final images have been delivered.
• If we must cancel for any reason, you'll be offered a new date or a full refund of everything you've paid.

3 · Payment of Balance & Delivery of Images

• The remaining balance (session price minus deposit) is due in full before final images are delivered.
• You may be shown a preview or proofing gallery to select favorites, but final, full-resolution and retouched images are released only after your balance is paid in full.
• Editing and retouching are performed at the Studio's artistic discretion. Reasonable revision requests are welcome; extensive additional edits may incur a fee agreed in advance.
• Typical delivery is within 2 weeks after the session and full payment, unless otherwise agreed.
• Delivered galleries remain available for download for a limited time (as noted on the gallery). Re-delivery after expiration or loss of files may incur an archive/re-download fee.
• We are not a print lab and are not responsible for the color or quality of prints made by third parties from delivered files.

4 · Sessions, Conduct & Safety

• Please arrive on time and prepared. Session length runs from your scheduled start time; late arrivals shorten the shoot, not extend it.
• Plus-one policy: you're welcome to bring trusted guest(s). Guests must not interfere with the session and are bound by these terms while on set.
• The Studio maintains a zero-tolerance policy for harassment, intoxication, or unsafe behavior. We may end a session immediately for such conduct, with no refund.
• You are responsible for disclosing any relevant allergies, medical conditions, or sensitivities (e.g., to projected light, makeup, props, or fog). Participate only within your own comfort and physical limits.
• You are responsible for your own personal property brought to the session.

5 · Image Rights, Licensing & Model Release

• The Studio retains full copyright and ownership of all images it creates, per U.S. copyright law.
• On full payment, you receive a personal-use license to the delivered images: you may print them and share them personally and on social media (credit to @formedoflight is always appreciated). This license is non-exclusive, non-transferable, and does not permit commercial use, resale, or entry into contests without written permission.
• You may not alter, crop out watermarks/signatures, apply your own filters/edits, or use AI to modify delivered images in ways that misrepresent the work.
• Your privacy comes first. By default the Studio will not publish your images. We share images on our portfolio or social media only with your explicit, affirmative permission. If your session is intimate or private, it stays that way.
• How permission is given. At booking you tell us a starting preference — keep private, share anonymously, or share with credit. A separate written model release is presented and signed at your session, and that signed release is the controlling record of whether and how your images may be used. You may decline the release entirely, and you may withdraw permission for future use at any time by writing to us.
• Release discount. If you sign a release permitting portfolio/marketing use at your session, a 10% discount is applied to your session.
• If an image is ever published in error. Should an image be published contrary to the permission on file, your remedy is prompt removal from Studio-controlled channels once you notify us in writing at clients@formedoflight.studio. To the extent permitted by law, the Studio's liability for such use is limited as described in Section 8, and the Studio is not responsible for copying, screenshots, or redistribution by third parties of images that were shared with permission.
• Commercial licensing (advertising, brand, or paid promotional use of the images) is available separately by written agreement.

6 · Creative Exchange (Collaborative / TFP Sessions)

Creative Exchange sessions are collaborative shoots offered without a session fee in exchange for your participation and a model release. If you take part in the Creative Exchange:

• You grant the Studio a broad, perpetual release to use the resulting images for portfolio, promotional, commerical and artistic purposes.
• You receive a personal-use license to the delivered selects, with social credit as agreed.
• No session fee is charged, and correspondingly no images are sold; the exchange is the images and credit themselves.
• All conduct, safety, and age (18+) terms above apply.

7 · Privacy

• We collect only what we need to serve you: your name, email, phone, social handle, and the details you provide when booking or inquiring.
• Payments are handled by Stripe; card data goes directly to Stripe and is never stored on our servers. See Stripe's privacy policy for how they process payments.
• Client gallery access uses a cookie to keep you signed in; marketing pages are cookie-light.
• We do not sell or rent your personal information. We may email you about your booking, your gallery, and occasional studio updates.
• To access, correct, or delete your information, email clients@formedoflight.studio.

8 · Liability, Indemnity & Force Majeure

• Services are provided on a best-effort, artistic basis. To the fullest extent permitted by law, the Studio's total liability arising from a session is limited to the amount you paid for that session.
• We are not liable for indirect, incidental, or consequential damages, or for outcomes based on your own subjective satisfaction with an artistic result.
• You agree to indemnify and hold the Studio harmless from claims arising out of your conduct, your guest's conduct, or your breach of these terms.
• Force majeure: if illness, weather, equipment failure, or other events beyond reasonable control prevent a session, we will reschedule rather than refund where a deposit is otherwise non-refundable.

9 · Governing Law & Changes

These terms are governed by the laws of the State of Georgia, without regard to conflict-of-law rules. Any dispute will be handled in the state or federal courts located in Georgia. If any provision is found unenforceable, the rest remain in effect.

We may update these terms from time to time; the version in effect at the time of your booking applies to that booking. Material changes will be posted on this page with a new "last updated" date.
